How RenewalGuard works —
and why it pays for itself.
Contract auto-renewals cost UK businesses hundreds of millions every year. RenewalGuard gives procurement and finance teams a simple, secure way to stay ahead of every renewal deadline — without storing a single contract document.
The problem with supplier contracts
Most organisations manage dozens or hundreds of supplier relationships — SaaS subscriptions, service agreements, licences, facilities contracts. The renewal clauses are buried in documents no one reads twice. The result is predictable.
Auto-renewals go unnoticed
Most supplier contracts auto-renew by default. Without a system, teams discover this only after the renewal has already locked them in — sometimes for another 12 or 24 months.
Notice periods are easy to miss
A 90-day notice window sounds generous. But across a portfolio of 50+ contracts with scattered renewal dates, tracking those windows in a spreadsheet is a full-time job.
Unwanted renewals cost real money
Industry research suggests that 30–40% of SaaS and service contracts renew without the team actively deciding to continue. That's direct, avoidable expenditure.
How RenewalGuard works
From upload to tracked renewal in under 30 seconds. Here's exactly what happens at each step.
Upload your contract
Drag and drop a PDF or Word document into RenewalGuard. We accept contracts up to 20 MB. No special formatting is needed — the AI reads the document as-is.
AI reads and extracts metadata
Our GPT-4o-powered extraction model analyses the full contract text and pulls out: supplier name, contract value, renewal date, notice period, cancellation deadline, and whether an auto-renewal clause exists.
Your document is permanently deleted
The moment extraction completes, the source file is deleted from our servers. No contract text, clauses, or document content is stored anywhere — only the structured metadata.
Reminders trigger before each deadline
RenewalGuard calculates your cancellation deadline from the renewal date minus the notice period, then alerts you with plenty of lead time so you can make an active decision.
Your full portfolio in one dashboard
See every supplier contract, its status, days until renewal, and total annual value in a single view. Filter, search, and export — no more spreadsheets.
Why RenewalGuard is completely risk-free to try
We've deliberately built the product so there is no downside to trying it. Here's what that means in practice.
No document retention
Your contract files are deleted immediately after AI processing. There is physically no way to retrieve them from RenewalGuard — we don't have them. Only the extracted metadata lives in the database.
No long-term commitment
Month-to-month billing on Starter and Professional plans. Cancel at any time from your account settings with immediate effect. No cancellation fees, no lock-in periods.
14-day free trial
Upload real contracts and explore the full dashboard during a 14-day trial. No credit card required to start. If it's not the right fit, just walk away — nothing to cancel.
You own your data
Every contract record you create can be permanently deleted at any time, individually or in bulk. Your data is not used to train models. Right to erasure is built in, not bolted on.
What paying customers actually get
Beyond the product features — the tangible advantages RenewalGuard delivers to finance and procurement teams.
Eliminate unwanted auto-renewals
Know about every upcoming renewal 90+ days in advance. Make an active decision every time — not a passive default.
Reclaim hours each month
Stop manually checking spreadsheets, calendars, and inboxes. RenewalGuard does the tracking and alerts you when action is needed.
Measurable cost savings
One avoided unwanted renewal typically pays for the platform for a year. Customers regularly identify savings of £10,000–£100,000+ in their first month.
One source of truth for your team
Finance, procurement, and legal all see the same data. No more siloed spreadsheets or missed handoffs when team members change.
Negotiate from a position of strength
When you know your renewal is coming 90 days out, you have time to benchmark alternatives, negotiate better terms, or consolidate vendors.
Audit trail and compliance
Every contract interaction is logged. Finance teams, auditors, and legal can review exactly who uploaded what and when — without touching the source documents.

Common questions
Can RenewalGuard read any contract format?
We support PDF and Microsoft Word (.docx) files. The AI model handles varied layouts, fonts, and formatting — from simple single-page agreements to complex multi-schedule enterprise contracts.
What if the AI misses a field?
Extraction confidence varies by contract quality. Any field the model can't read with confidence is left blank rather than guessed. You can view and manually correct any extracted value from the contract detail page.
Is my data shared with OpenAI?
Contract text is sent to OpenAI's API for extraction processing. OpenAI's enterprise API terms prohibit using API data for model training. Your contract text is not stored by OpenAI. Once extraction completes, RenewalGuard deletes the source file immediately.
How many contracts can I track?
Starter supports up to 25 contracts, Professional up to 200, and Enterprise is unlimited. Upgrading is instant — all your existing contracts carry over.
Can multiple people on my team use RenewalGuard?
Yes. Professional and Enterprise plans include team access with role-based permissions (Owner, Admin, User). Each team member has their own login and actions are logged individually.
What happens if I cancel?
You can export your contract metadata as CSV at any time. When you cancel, your account is deactivated at the end of the billing period. On request, we will permanently delete all your data within 30 days.
